Privacy Statement

The Privacy Statement outlines the privacy practices and procedures for Te Whiri Kōkō RTLB, focusing on how student information is collected, used, stored, and shared to support learning and behaviour needs within legal and ethical boundaries.

Purpose and Scope

  • RTLB are specialist teachers supporting students with complex learning, engagement, or behavioural needs.

  • They collaborate with schools, whānau, and support professionals to improve inclusive practices and outcomes.

  • They do not handle teacher performance or disciplinary issues.

Information Collection

  • Data is gathered mainly from schools via the Request for Support process or MOE inquiries.

  • Whānau are informed about data collection through privacy statements and consent forms.

  • Indirect collection from third parties requires notification unless legally exempted.

  • Personal info includes student identifiers, demographics, support history, and perspectives.

  • Sensitive info (medical, psychological) is only collected if relevant.

Sharing and Storage

  • Information is shared within the student’s support team with consent or legal authority.

  • Data is stored securely in Schoolgate for seven years, then destroyed.

  • Working documents are temporarily stored and securely disposed of after case closure.

Use and Consent

  • Data supports planning, monitoring, and service evaluation, with efforts to anonymize data.

  • Ongoing consent is obtained; parents can withdraw at any time, ending support.

  • Parents can request access or correction of their child's information.

Concerns and Breaches

  • Privacy concerns should be directed to the Cluster Manager or Privacy Commissioner.

  • Serious breaches will be responded to per the Privacy Act, including notification.

Additional Support

  • For individual student support, detailed personal info is collected with parental consent.

  • Group support involves minimal personal data, mainly class-level info.

  • Whole-school or multi-school support requests focus on systemic issues, with no personal data collected.
